Where a school provides or controls student information, the applicable school may also determine how certain information is collected, used, disclosed, retained, or otherwise processed through the Services.

Depending on how the Services are used, we may collect academic transcripts, resumes, recommendation-related materials, application-related documents, essays and written submissions, reflections and journal-style content, counselor communications, student-generated content, educational progress and activity data, grade level, school information, academic interests, educational goals, application preferences, and other educational content uploaded by students, schools, counselors, educators, or parents.

C. Technical and Usage Information

When users interact with the Services, we may collect information such as IP address, browser type, device information, operating system, login and authentication records, usage activity, error logs, session information, and general analytics and performance information.

D. Communications Information

We may collect information contained in emails, support requests, contact forms, scheduling requests, communications with schools, parents, counselors, or students, and marketing communications.

E. AI-Related Inputs and Outputs

Where users interact with AI-enabled functionality, we may collect prompts, responses, contextual educational information, personalization-related information, and AI-generated outputs associated with a user’s account or educational workflow.

F. Payment and Transaction Information

Where applicable, we may collect limited billing or transaction-related information through third-party payment processors. Ontos does not store complete payment card information.

Some of the information collected may be considered “sensitive personal information” under applicable law. We process such information only as necessary to comply with legal and regulatory obligations.

AI Features may:

  • assist users with brainstorming, reflection, organization, drafting, and educational workflows;

  • personalize experiences based on a user’s own information and activity;

  • generate educational suggestions, prompts, recommendations, or organizational insights;

  • organize or summarize information;

  • improve usability and workflow functionality; and

  • support operational, analytical, and platform-improvement activities.

Ontos does not use one student’s personal information or educational content to generate outputs for another student. Ontos does not permit third-party AI providers to use student educational content submitted through the Services to train publicly available generalized AI models, except as expressly disclosed or authorized.

AI-assisted outputs may not always be accurate, complete, reliable, original, or appropriate, and users remain responsible for reviewing, evaluating, editing, and independently validating any AI-assisted content or recommendations.

AI-assisted outputs are intended to support human decision-making and educational workflows and are not intended to replace independent judgment, educator oversight, parental involvement, institutional review, or professional guidance.

Certain AI functionality may rely on third-party providers operating under contractual confidentiality, security, and data protection obligations. Users may contact Ontos with questions or concerns regarding AI-assisted recommendations, profiling, or personalization features.
